Manage Global Vendors Across Your Portfolio

Learn how property and global vendors differ, and manage them consistently across your portfolio.

Vendor Types in Visitt

Vendors in Visitt can be Property vendors or Global vendors.

A property vendor is one record linked to a single property. It's visible and usable only there.

A global vendor is one record at the account level. It can be linked to one or more properties and is never duplicated — it's a single shared entity across your portfolio.

The Verified badge

Verified is a badge that a global admin can apply to a global vendor. It signals account-level approval, typically backed by a master contract or other centralized validation. Only global vendors can be Verified — property vendors don't have this option.

Creating a global vendor

A vendor can become global in three ways:

  1. Share on create — when creating a vendor at a property, choose to share it. This makes it a global record.

  2. Upgrade or merge — a global admin upgrades an existing property vendor to global, or merges duplicate property vendors into one global record.

  3. Create directly — a global admin creates a global vendor under Account Settings.

Whether property admins can create global vendors (option 1) is controlled by a global admin in Settings → Account → Vendors → General. If this permission is off, property admins can only create property vendors.

Find and link an existing global vendor to a property

When creating a new vendor, Visitt checks for existing global vendors with a similar or matching name and shows them before you create a duplicate. This search only checks global vendors — not property vendors at other properties.

You can also link a global vendor to a property directly:

  • From the property side: open Property vendors and use the global vendor directory entry point to browse and select vendors to add.

  • From the account side: a global admin adds or selects a vendor in Settings → Account → Vendors → Directory and assigns it to one or more properties in the same flow.

Once linked, the vendor appears at that property with its type badge (Global, or Global + Verified) and becomes available in the work order "Share with vendor" dropdown.

Upgrade or merge a property vendor into a global vendor

A global admin can:

  • Upgrade a single property vendor to a global vendor.

  • Merge duplicate vendors (for example, the same vendor created separately at several properties) into one global record.

When vendors are merged, each property keeps its own contacts, COIs, and work orders. The core vendor record becomes one global entity, and vendor notes are combined.

View the vendor profile — property level

At the property level, a vendor's profile shows its type badge (Property, Global, or Global + Verified), COI tracking status for that property, and its work order history at that property.

At the account level, go to Settings → Account → Vendors → Directory and open a vendor to view or edit its global record — including the Verified badge and which properties it's linked to.

Manage COI by property

COI tracking is set per property, even for a global vendor. If a vendor doesn't need COI tracking at a specific property, use the Do Not Track COI toggle on that vendor at that property. This only affects the property it's set on — the same vendor can still be tracked for COI at other properties.

COI documents are always uploaded at the property level, regardless of whether the vendor is property or global.

Common scenarios

The same vendor works at multiple properties

Instead of creating a separate vendor record at each property, share the vendor as global when you first create it, or ask a global admin to upgrade or merge it. It then appears as one record that can be linked to any property.

Deciding whether a vendor should stay property-level or become global

If a vendor only ever works at one property, keep it as a property vendor. If it works across your portfolio, make it global so there's a single record instead of duplicates — and so a global admin can Verify it if needed.

A vendor shouldn't be tracked for COI at one property

Turn on Do Not Track COI for that vendor at that specific property. The vendor's COI tracking at any other property it's linked to is unaffected.


FAQ

  • Does linking a global vendor to a property make it visible everywhere?

    • No. A global vendor only appears at the properties it's linked to. Being global doesn't make it visible across the whole portfolio automatically.

  • Can property admins create global vendors?

    • Only if a global admin has enabled that permission in Settings → Account → Vendors → General. Otherwise, property admins can only create property vendors.

  • What happens to a property vendor's contacts, COIs, and work orders when it's merged into a global vendor?

    • Each property keeps its own contacts, COIs, and work orders. Only the core vendor record becomes one shared global entity.

  • Does the Verified badge affect where a vendor shows up?

    • No. Verified is a status, not a visibility setting. A Verified global vendor still only appears at the properties it's linked to.

  • Can I stop tracking COI for a vendor at just one property?

    • Yes. Use the Do Not Track COI toggle on that vendor at that property. It won't affect COI tracking for the same vendor at other properties.
