What is access by Property Group?
Instead of assigning users to properties one by one, you can assign them to a Property Group. The user automatically receives access to every property in that group. When a new property is added to the group, access is granted automatically — no manual update needed.
How it works
Step 1 — Check your permissions
Only Global Admins can manage user access at the account level. Make sure Property Groups are already set up before assigning access through them.
Step 2 — Assign a user to a Property Group
Go to User Management.
Open the user's profile.
Assign the user to a Property Group (e.g., "West Region").
Click Submit.
The user now has access to all properties currently in that group.
Step 3 — Understand how access updates automatically
Access through Property Groups is dynamic:
New property added to the group → the user automatically gains access.
Property removed from the group → the user loses inherited access, unless they have direct access assigned separately.
No manual updates are needed when your portfolio changes.
Common scenarios
Onboarding a regional manager
A new manager joins and will oversee the West Region. Assign them to the "West Region" Property Group. They immediately get access to all 12 properties in that group. When a 13th property is added next quarter, access is granted automatically.
Portfolio expansion
Your company acquires two new properties and adds them to the "South Region" group. Every user assigned to South Region receives access immediately — no ticket to IT, no manual update.
Offboarding a user
A regional manager leaves. Remove their account or revoke group access. They lose access to all properties inherited through that group.
FAQ
What if a user needs access to properties in two different groups?
Assign them to both Property Groups, or combine group access with direct property assignments.
If I remove a property from a group, do users lose access immediately?
Yes — if a user's only access to that property came from the group, removing the property from the group revokes access immediately.
Does assigning a user to a group override their existing direct property access?
No. Group access and direct access are additive. A user keeps any directly assigned access regardless of group changes.
Can I see which users are assigned to a Property Group?
Yes. Go to User Management and filter by Property Group to see all users with access through that group.
