What is Out of Office?
Out of Office (OOO) lets you block a period of unavailability and delegate your property responsibilities to another user. During your OOO period, you won't receive notifications, and your assigned work is routed to your designated backup. When the period ends, everything returns to you automatically.
How it works
Set up your OOO period
Go to your User Profile (Or Click your avatar in the bottom-left corner and select Schedule out of office.)
Click Schedules.
Select Out of Office.
Set your start date and end date.
Review your delegation settings.
Click Save.
Set up delegation
After setting your dates, the system displays your active property responsibilities. You'll choose one of two delegation types:
Single delegate
Assign one backup user across all your properties.
The users available to select are those with the same access level as you or higher.
Per-property delegation
Assign a different backup user for each property individually.
The users available to select are those who have access to that specific property.
Important: Any property you leave without a delegate will continue routing work to you, even during your OOO period.
Click Save when done.
If you have no active responsibilities, the delegation step is skipped automatically.
What happens during your OOO
Your notifications are paused.
An OOO badge appears on your profile.
Your responsibilities - work order automations, escalation rules, inspections, and amenities - are routed to your backup users.
What happens when your OOO ends
Your responsibilities return to you automatically.
All delegations are deactivated.
Your OOO badge is removed.
For admins: Manage delegation settings
You can control whether users in your organization are required to set a delegate when marking themselves OOO.
Go to Settings.
Click Schedules Management.
Select Out Of Office.
Choose one of the following options:

No | Users can set OOO without delegating responsibilities. |
Yes - for all | All users must assign a backup before saving their OOO period. |
Yes - optional for managers/admins | Delegation is required for standard users, but optional for managers and admins. |
Mark another user as OOO
If a user forgets to set their own OOO, you can do it on their behalf.
Go to Settings → Users.
Select the user.
Follow the same OOO setup steps.
Assign a backup delegate and click Save. The backup user is notified automatically.
Common scenarios
A user goes on vacation. They set their OOO dates and assign a single backup user across all their properties. Notifications stop, and their backup handles incoming work until they return.
A user manages multiple properties. During OOO setup, the system lists each property separately. The user assigns a different backup per property based on who covers each location.
A user forgets to set OOO. Their admin opens the user's profile, sets the OOO period, and assigns a delegate. The backup receives a notification confirming the delegation.
FAQ
Can I cancel my OOO early? Yes. Open your OOO settings and remove or shorten the period. Your backup is notified that the delegation has ended.
What if I have no active responsibilities? You can still set an OOO period. The delegation step won't appear since there's nothing to delegate.
Can I override my OOO and show as available? Yes. You'll appear as Available (OOO) to other users, indicating you're reachable despite the scheduled period.
What gets delegated? Work order automations, escalation rules, inspections, and amenities.
Can an admin delegate to different users per property? Yes. The delegation screen lists each property separately, so you can assign a different backup for each one.
