In this article, you'll learn how to invite new users to Visitt, add existing users to a property, and understand the different user roles and access levels available.
Only Admins can add or manage users. If you need access to the Users page, please contact a Property Admin or Global Admin within your organization.
About the Users Tab
The Users tab is where administrators manage staff access in Visitt. From this page, you can view users, invite new team members, add existing users to additional properties, and manage user access and permissions.
Within the Users tab, you can:
View all users and their current status
Search and filter users
Invite new users or add existing users to a property
Enable or disable user access
Import or export user lists
Manage user details, notifications, permissions, and schedules
Selecting a user from the list opens their user profile, where you can update their information, adjust notification settings, manage permissions, and configure work schedules or out-of-office periods.
From the Settings page, select the Users tab in the left-hand menu to manage user accounts, access, and permissions.
Invite a New User
To invite a new user to Visitt, click Add New User.
Complete the required user information and click Create.
The user will receive an invitation via email or SMS and can immediately access Visitt using the provided login instructions.
💡Note: New users receive an invitation email containing a one-time login code. After signing in, they can continue using one-time codes or create their own password for future logins. The invitation email also includes direct links to download the Visitt mobile app from the App Store and Google Play.
Resend a User Invitation
If you need to resend an invitation for a User's Visitt account, simply follow the below steps:
Navigate to the user's profile.
Select the Details tab.
Scroll to the bottom of the page.
Click Send Invite.
Add an Existing User to a Property
If a user already has an active Visitt account and needs access to an additional property, select Add Existing User.
Use this option to assign a user who already exists within your organization's Visitt account to another property or region.
After selecting Add Existing User, choose the user and assign the appropriate access level.
User Roles and Permissions
User roles determine what actions a user can perform within Visitt.
There are 4 User types: Global Admin, Property Admin, Manager and Team Member. All four of them come with a different set of features.
Global Admins: Have full access to all properties, settings, users, work orders, inspections, and account-level configurations. Permissions cannot be modified.
Property Admins: Have full control over their assigned properties, including user management, property settings, work orders, and inspections.
Managers: Have visibility into all work orders and inspections within their assigned properties and can make updates as needed. They cannot access Settings or manage users.
Team Members: Can view and update only work orders and inspections assigned to them. They do not have access to Settings or property-level administration tools.
Understand Access Levels
Access levels determine which properties and regions a user can access.
Region/Property Access
Users can access only the specific regions and properties assigned to them.
This option is best when a user should work within a limited set of locations.
Global Access
Users can access all current and future properties within the account.
This option is best for users who require visibility across the entire portfolio.
Important: User Roles and Access Levels work together. A user's Role determines what they can do, while their Access Level determines where they can do it. For example, a user could be assigned a Manager role with either Region/Property Access or Global Access, depending on the visibility they require.
In conclusion, the Users tab provides all the tools needed to manage user access in Visitt, including inviting new users, assigning property access, managing permissions, and updating user settings.
