Managing User Roles and Custom Permissions

Learn how to create custom roles with granular permissions and manage standard user roles in Visitt. (Global Admin only)

Written by Zach Kahan

This article covers how to create and assign custom roles with granular permissions, and how to change a user's standard role. Both features are available to Global Admins only.

Custom Roles

Custom roles let you create tailored permission sets based on a standard role. This is useful when you need a role that fits a specific job function — for example, a site manager who needs some but not all Manager-level permissions.

📌 The Custom Roles feature must be enabled for your account. If you don't see it, contact your Visitt Customer Success Manager.

Creating a Custom Role

  1. Navigate to Settings → Account → General → Security → Roles & Permissions.

  2. You'll see two sections: Standard roles (the four fixed roles) and Custom roles (your tailored roles).

  3. Click Create custom role.

  4. Enter a name and description for the role.

  5. Select a base role from the dropdown — this is the starting point for permissions. Choose the standard role that most closely matches what you need.

  6. Configure the granular permissions by category — toggle individual permissions on or off across any of the following areas: Work Orders, Inspections, Tenants, Amenities, Visitors, Billing, Reports, Documents, Property Structure, Data Access, and Vendors.

  7. Save the role — it will now appear in the Custom roles section and be available to assign to users.

💡 Custom roles can only be based on Team Member or Manager. It is not currently possible to create a custom role based on Property Admin or Global Admin.

Assigning a Custom Role to a New User

  1. Navigate to Settings → Account → Users.

  2. Click Add new user.

  3. Fill in the user's details and click Select role.

  4. Open the Custom roles list and select the appropriate role.

  5. Complete the user setup and save.

Assigning a Custom Role to an Existing User

  1. Navigate to Settings → Account → Users.

  2. Find the user and click their name to open their profile.

  3. Go to the Permissions tab.

  4. Click the User Role dropdown — custom roles will appear alongside the standard roles.

  5. Select the custom role and confirm the change.

Changing a User's Standard Role

Visitt has four standard roles with fixed permission sets:

  • Team Member — Limited visibility to assigned tasks only

  • Manager — Property-wide visibility, can manage workflows

  • Property Admin — Full control over assigned properties, can manage users and configure property settings

  • Global Admin — Full account access across all properties; permissions are fixed and cannot be modified

To change an existing user's standard role:

  1. Click Settings in the main sidebar and select the Account scope in the top-right corner.

  2. Select the Users tab from the side menu.

  1. Find the user by scrolling or using the search bar. Click their name to open their profile.

  2. Go to the Permissions tab.

  1. Under Set User Permissions, click the User Role dropdown and select the desired role.

  2. A Change Role confirmation window will appear showing a side-by-side comparison of the current and new role. Click Confirm Change to proceed.

A success message will confirm the change. The permissions list below will update automatically to reflect the new role.

💡 To view the history of permission changes for a user, click View Log next to "Permission Activity."
