When an employee leaves, changes roles, or is replaced, you may need to transfer their existing responsibilities to another User. This process involves adding the replacement User, removing or unassigning the existing User, and reassigning any active responsibilities to maintain operational continuity.
Add the New User
Before responsibilities can be transferred, the replacement User must first be added to the system.
Steps:
Navigate to Settings > Users.
Click Add New User.
Enter the required User details.
Click Create.
The new User will receive an invitation via email or SMS and can begin accessing Visitt immediately after activating their account.
💡 Best Practice: Always verify that the new User has been added successfully before removing or unassigning the existing User. This helps prevent responsibilities from being left without an assigned owner.
Transfer Responsibilities and Remove Access
Once the replacement User has been created, you can transfer responsibilities from the existing User.
Note: Responsibilities can be transferred when removing a User from a Property or when deactivating a User account, depending on your organization's workflow.
Steps
Navigate to Settings > Users.
Locate and open the profile of the User whose responsibilities need to be transferred.
Scroll to the Assigned Properties section.
Click Unassign from Property.
A transfer window will appear displaying any assigned responsibilities, such as:
Open Work Orders
Inspections
Other active assignments
Select the replacement User from the dropdown list.
Click Save > Confirmation to complete the transfer.
Once the transfer is complete, all selected responsibilities will be reassigned to the new User.
⚠️ Note: Unassigning a User removes their access to that Property. During this process, you will have the option to transfer any active responsibilities to another User.
End Results
After the transfer is completed:
The replacement User receives ownership of the transferred responsibilities.
Open Work Orders and Inspections remain active.
Property operations can continue without interruption.
The previous User's access to the Property is removed.
