Creating and Managing Recurring Work Orders

Learn how to set up and manage recurring work orders in Visitt using the Recurring Schedules feature.

Written by Zach Kahan

Recurring Work Orders allow you to automate routine maintenance and operational tasks by generating work orders on a schedule. Instead of creating the same work order repeatedly, you can set up a recurring schedule once and let Visitt generate future work orders automatically.

You can manage all recurring schedules from the Recurring Schedules tab within the Work Orders module.

💡 Permissions & Availability: Recurring Work Orders can be created by Property Managers, Property Admins, and Global Admins. Users with the Team Member role do not have permission to create recurring schedules.

In addition, the Recurring Work Orders feature must be enabled for the property. If you do not see the Recurring Schedules tab in the Work Orders module, contact your Account Administrator for assistance.

How Recurring Work Orders Work

A recurring schedule acts as a template. Each time the schedule reaches its configured creation date, Visitt generates a new work order using the schedule's settings. Once created, the work order becomes independent of the schedule and can be managed like any other work order.

💡 Changes made to a recurring schedule only affect future work orders. Previously generated work orders are not updated.

What You Can Do with Recurring Work Orders

  • Create recurring schedules with flexible frequencies

  • Automatically assign tenants using their leased spaces, supporting tenant bill-backs

  • Control whether work orders are shared with tenant contacts or stay internal only

  • Generate work orders on the due date or in advance

  • Edit schedules without affecting existing work orders

  • Manage all schedules from a dedicated Recurring Schedules tab

💡Note: AI-based similarity detection is disabled for work orders generated from recurring schedules.

How to Create a Recurring Schedule

  1. Navigate to the Work Orders module in the side menu.

  2. Open the Recurring Schedules tab.

  3. Click the Create Recurring Schedule button on the right-hand side.

  4. Enter a Description (e.g., "Weekly Lobby Cleaning") and select the relevant Building, Where (location), and Category.

    1. Optional: Select a Leased Space if applicable — the tenant will be automatically assigned to support bill-backs.

    2. Optional: Toggle the Share or Do Not Share option to determine if the tenant contact can see the work order.

  5. Configure your Schedule Frequency relative to the due date (on the due date or before it). Work orders are always created at 8:00 AM.

  6. Review the Confirmation Alert, which displays the next four scheduled occurrences.

  7. Click Save to create the recurring schedule.

Schedule Frequencies

Recurring Work Orders support the following frequencies:

  • Weekly: Select a single weekday or multiple weekdays

  • Monthly: By a specific date (e.g., the 15th of every month), or by a day pattern (e.g., first Monday of the month)

  • Yearly: Select a specific month

For example:

  • Weekly: Every Monday and Friday

  • Monthly: The 15th of each month or the first Monday of the month

  • Yearly: Every January for annual inspections

Due Date & Create in Advance

  • All due dates are set to end of day (11:59 PM).

  • The first due date is based on the selected start date.

  • Configure when work orders should be generated. You can create them on the due date or a specified number of days beforehand to give your team time to prepare.

Managing Recurring Work Orders

Work orders created from a recurring schedule appear in the Recurring Schedules tab in the Work Orders module. Once generated, recurring work orders behave like standard work orders and appear in Open Work Orders and All Work Orders, where they can be assigned, updated, and completed normally.

Editing or Deleting a Schedule

  1. Go to the Recurring Schedules tab.

  2. Locate the schedule you wish to change.

  3. Click Delete to stop all future occurrences, or click Edit to open the Edit recurring work order panel.

  4. Make the necessary changes, then click Save Changes.

📌 Important: Only schedule Creators or Admins can edit or delete recurring schedules.

💡Note: Editing or deleting a recurring schedule does not affect existing work orders. Only future work orders are affected.

Filtering Your Schedules

You can filter your recurring work orders by building to see what is planned for a specific property, or narrow your view further by:

  • Tenant: See scheduled work orders for a specific tenant

  • Category: View all recurring tasks within a certain category

  • Assigned User: See all schedules assigned to a specific person

  • Created by: View schedules created by a specific manager or admin

Automations Behavior

Work orders generated from recurring schedules follow the same automation rules as manually created work orders. For example, automatic assignment, priority rules, and other configured workflows will be applied when the work order is generated.

Current Limitations

Recurring Work Orders currently do not support:

  • Pausing a schedule

  • Limiting the number of repetitions

  • Temporarily skipping individual occurrences
