How to Create a Work Order

Learn how to capture, assign, and manage maintenance tasks within the Visitt platform.

Creating a work order is the primary way to ensure that maintenance issues and tenant requests are documented and resolved. By using Visitt's structured work order flow, you can automate assignments, set clear deadlines, and keep your property running smoothly.

You can start a work order from almost any screen in Visitt, including the Status Page, My Work, or Work Orders tabs.


Step 1: Open the Work Order Form

Click the green Add Work Order button located at the top-right of your screen. A pop-up window will open.

Step 2: Fill in the Details

  • Description: Provide a clear summary of the work required (e.g., "Leaking pipe in kitchen"). Visitt's AI will suggest a category based on your text — click it to accept, or choose your own.

  • Building: Select the correct building from the drop-down menu. The default matches the last building you used.

  • Where: Specify the exact location. You can search by floor, space, equipment, or tenant name (e.g., typing "Pulse Labs" will automatically suggest "Unit 122"). After selecting a location, Visitt will display any related contacts and suggest assigning them to the work order.

  • Category: Choose the category and sub-category that best fit the task.

Step 3: Assign and Prioritize

Once the basic details are filled in, set accountability and urgency for the task:

  • Assignee: Select the team member or manager responsible for the work.

  • Priority: Choose from Low, Medium, High, or Critical.

  • Due Date: Click the calendar icon to select the required completion date and time.

Step 4: Use the Quick Menu (Advanced Options)

Click the Quick Menu button (three-dot icon) next to the Due Date field to access additional tools:

Step 5: Add Attachments and Submit

  • Add Files: Click the Attachment icon (bottom-left of the form) to upload photos, videos, or PDFs related to the issue.

  • Submit: Click the green Submit button to create the work order.
