Understanding Work Order Subscribers

This article explains how work order subscribers work in Visitt and how you can manage who receives notifications on a work order.

Written by Jonathan Kroll

Work Order Subscribers determine who receives notifications about activity on a specific work order. Subscribers can follow a work order even if they are not assigned to complete it, helping stakeholders stay informed about progress, updates, and important changes throughout the work order lifecycle.

How Work Order Subscribers Work

A subscriber is any user who is following a work order and receiving notifications about its activity. Subscribers do not gain additional permissions or access to a work order; subscribing only affects notifications.

Work Order Subscribers can be added automatically through assignments and participation, or manually by users and administrators.

Once subscribed, users receive updates about important changes to the work order until they unsubscribe or are removed from the subscriber list.

Ways Users Become Subscribers

Users can become subscribers in several ways:

  • Assigned users: Users assigned to the work order are automatically subscribed. They remain subscribers as long as they are assignees.

  • Work order creator: The user who created the work order is automatically subscribed.

  • Participation: When a user writes a chat update, is mentioned in chat, or receives a notification via escalation or automation rules, they are added as subscribers.

  • Manual subscriptions: Users can subscribe themselves to a work order. Managers and Administrators can also add or remove other users from the subscriber list as needed.

Managing Subscribers

  • Unsubscribing: Users can unsubscribe themselves at any time. If you are assigned, you must first be removed as an assignee before you can unsubscribe.

  • Permissions: Team members cannot manually add or remove other users as subscribers. They can only manage their own subscription.

  • Access changes: Users may be automatically removed as subscribers if they no longer have permission to view the work order.

💡 Note: Being a subscriber does not affect work order permissions or visibility beyond notifications. Subscriber lists can be managed directly from the work order details view.

Subscriber Management Permissions

  • Users can subscribe or unsubscribe themselves.

  • Assigned users cannot unsubscribe until they are removed as assignees.

  • Managers and Administrators can add or remove other subscribers.

  • Team Members can only manage their own subscriptions.

What Subscribers Are Notified About

Subscribers may receive notifications for:

  • New chat messages

  • Status changes

  • Due date changes

  • Overdue work order alerts

  • SLA-related alerts and escalations

  • Other significant work order updates

Notifications help ensure the right people stay informed about work that matters to them.

💡 Key Takeaway: Subscribing a user keeps them informed about a work order without making them responsible for completing it.
