A recurring work order is one that is scheduled to repeat at specific intervals. You will find them in the Recurring Schedules tab in your Work Orders module.
Managing repetitive tasks like cleaning, landscaping, or vendor services can be time-consuming. Recurring Work Orders solve this by automatically generating tasks based on a schedule you define — so your building operations run smoothly without manually recreating the same work order every week or month.
What You Can Do with Recurring Work Orders
Create recurring schedules with flexible frequencies
Automatically assign tenants using their leased spaces, supporting tenant bill-backs
Control whether work orders are shared with tenant contacts or stay internal only
Generate work orders on the due date or in advance
Edit schedules without affecting existing work orders
Manage all schedules from a dedicated Recurring Schedules tab
Note: AI-based similarity detection is disabled for work orders generated from recurring schedules.
How to Create a Recurring Schedule
Navigate to the Work Orders module in the side menu.
Open the Recurring Schedules tab.
Click the Create Recurring Schedule button on the right-hand side.
Enter a Description (e.g., "Weekly Lobby Cleaning") and select the relevant Building, Where (location), and Category.
Select a Leased Space if applicable — the tenant will be automatically assigned to support bill-backs.
Toggle the Share or Do Not Share option to determine if the tenant contact can see the work order.
Configure your Schedule Frequency relative to the due date (on the due date or before it). Work orders are always created at 8:00 AM.
Review the Confirmation Alert, which displays the next four scheduled occurrences.
Click Save to create the recurring schedule.
Schedule Frequencies
Recurring Work Orders support the following frequencies:
Weekly: Select a single weekday or multiple weekdays
Monthly: By a specific date (e.g., the 15th of every month), or by a day pattern (e.g., first Monday of the month)
Yearly: Select a specific month
Due Date & Create in Advance
All due dates are set to end of day (11:59 PM).
The first due date is based on the selected start date.
You can choose whether work orders are created on the due date or created in advance based on the schedule configuration.
Managing Recurring Work Orders
Work orders created from a recurring schedule appear in the Recurring Schedules tab in the Work Orders module. Once generated, they also appear in Open Work Orders or All Work Orders depending on the next occurrence.
Editing or Deleting a Schedule
Go to the Recurring Schedules tab.
Locate the schedule you wish to change.
Click Delete to stop all future occurrences, or click Edit to open the Edit recurring work order panel.
Make the necessary changes, then click Save Changes.
Important: Only schedule Creators or Admins can edit or delete recurring schedules.
Note: Editing or deleting a recurring schedule does not affect existing work orders. Only future work orders are affected.
Filtering Your Schedules
You can filter your recurring work orders by building to see what is planned for a specific property, or narrow your view further by:
Tenant: See scheduled work orders for a specific tenant
Category: View all recurring tasks within a certain category
Assigned User: See all schedules assigned to a specific person
Created by: View schedules created by a specific manager or admin
Automations Behavior
Recurring Work Orders inherit existing automation rules, including automatic assignment and priority rules. This ensures recurring tasks follow the same standards as manually created work orders.
