Set up and validate tenant COI requirements

Learn how to define insurance requirements for a tenant and validate their certificate of insurance in Visitt.

What is a Certificate of Insurance (COI)?

A Certificate of Insurance (COI) is a document issued by an insurance provider. It confirms that a tenant holds active insurance coverage and lists the coverage types and limits.

Property managers collect COIs to verify that tenants meet the property's insurance standards before or during their lease. Keeping COIs up to date reduces liability risk and ensures compliance across your portfolio.


What are tenant COI requirements?

COI requirements define the minimum insurance coverage a tenant must hold. You set them once per tenant. When a new COI is uploaded for that tenant, Visitt automatically validates it against the saved requirements.

Requirements are set at the tenant level, inside the tenant's profile. They are separate from the COI document itself.

How it works

Step 1: Set up COI requirements for a tenant

  1. Open the tenant's profile.

  2. Click COI in the left menu.

  3. Go to the COI requirements section. If no requirements have been set, you'll see an empty state with the message: "No requirements set."

  4. Click Create. A blank form opens with all available coverage fields. These are based on the ACORD 25 COI format.

  5. Fill in the required coverage types and limits. All fields are optional. Leave blank any coverage type that does not apply to this tenant.

  6. Click Save Requirements.

After saving, the section displays:

  • A Manual entry label

  • The creation date

  • A View requirements button


Step 2: View or edit requirements

  1. Click View requirements in the COI Requirements section. The Edit COI requirements modal opens.

  2. Update any fields as needed.

  3. Click Save requirements.


Step 3: Upload and validate a tenant COI

Once requirements are set, any COI uploaded for that tenant is automatically validated against them.

  1. Open the tenant's profile and click COI.

  2. Click Renew COI.

  3. Click the upload area to open the file picker. Select the COI document.

  4. Click Add and review COI. Visitt displays the document details for review.

  5. If the COI meets the saved requirements, click Mark as Compliant.

The COI status updates to Compliant and is saved to the tenant's record.

Note: If no requirements have been set for the tenant, Visitt does not run automatic validation. You can still upload and manually mark the COI as 'Compliant' or 'Pending'.


Remove requirements

  1. Click View Requirements in the COI Requirements section.

  2. In the Edit COI Requirements modal, click Remove Requirements.

  3. Confirm the action.

The requirements are deleted. The COI requirements section returns to its empty state. Existing COIs are not affected.

Common scenarios

Setting up requirements before a tenant's first COI upload

Go to the tenant profile before uploading any COI documents. Create requirements from the template. Once the COI is uploaded, Visitt automatically validates it.

Updating requirements mid-lease

If coverage terms change, open the Edit COI Requirements modal and update the relevant fields. Choose whether to mark the existing COI as Pending or keep it as-is. The COI owner reviews any COIs flagged as Pending.

Uploading a COI after requirements are already set

Navigate to the tenant's COI section, click Renew COI, upload the document, and review the details. Visitt checks the document against the saved requirements. Mark as Compliant if everything is in order.


FAQ

  1. What happens if I upload a COI before setting requirements?
    Visitt does not run automatic validation. You can still upload the COI and manually set its status. You can add requirements at any time; they will apply to all COIs uploaded thereafter.

  2. Can I leave fields blank in the requirements template?
    Yes. All fields are optional. Leave any coverage type blank if it does not apply to the tenant.

  3. What does "Pending" status mean?
    A COI marked as Pending requires manual review. It has not been confirmed as compliant. This status is automatically applied when requirements are updated, and you choose to re-validate existing COIs.

  4. Can I undo a requirements change after confirming?
    No. Requirement changes cannot be undone. Version history is not available in the current version. Review your changes carefully before clicking Confirm.
