Navigating and Managing Inspections in Visitt

Master the Inspections ecosystem to monitor checkups are executed, maintaining high operational standards across your portfolio.

Manage and supervise all recurring and one-time inspections from a centralized dashboard. The Inspections page allows you to track real-time progress, audit past inspection data, and organize schedules to ensure no critical maintenance checks are missed.


Access and User Permissions

To access the Inspections ecosystem, click the Inspections icon in the left sidebar menu.

  • Admins and Managers: Have full authority to create, edit, pause, or duplicate inspections across all assigned buildings.

  • Admins only: Can delete inspections.

  • Team Members: Can access, perform, and complete specific inspections assigned to them via the Open Inspections tab.

Understanding the Inspections Tabs

The Inspections page is organized into four primary views to help you manage quality control effectively.

Open Inspections

This tab displays all active inspections that are currently due or in progress. It is your primary workspace for identifying tasks that require immediate completion.

  • Search: Use the search bar to find inspections by name.

  • Filters: Narrow your view by Building, Category, or use Add filter to create custom views.

Calendar

The Calendar tab provides a visual timeline of your inspection schedule, allowing you to track consistency and plan for future requirements.

  • Navigation: Use the arrows to scroll through every month to look back at historical data or look ahead at upcoming tasks.

  • View Toggle: Switch between Month or Week views on the right-hand side to zoom in on specific inspection schedules.

  • Status Filters: Narrow your view by filtering for Open, Completed, Missed, Reopened, or Completed Late.

  • Advanced Filtering: Use the Add filter button to refine the calendar by Building, Category, Assigned User, Frequency (e.g., Once, Hourly, Daily, Weekly), or Space (e.g., Lobby, First Floor, Restroom).

Closed Inspections

This section serves as your historical archive, providing a comprehensive record of all finalized tasks.

  • Audit Trail: Review inspections marked as Completed, Missed, or Completed Late.

  • Date Range: Use the From and To fields to pull data for specific time periods.

  • Search and Filter: Filter by Name, Status, Building, Frequency, Space, or Completed by.

Manage Inspections

This is the administrative hub where you control the source settings of your inspections. Use the Quick Action button on the right-hand side to perform the following administrative tasks:

  • Bulk Assign: Efficiently assign inspections to a specific user across all inspections or filtered by category and building. See Bulk Assign Inspections for full steps.

  • Set Completion Order: Dictate the sequence in which inspections should be completed. See Set Completion Order for full steps.

  • Import: Streamline your setup by uploading inspections directly from an Excel file.


Toolbar Actions on Selected Inspections

To trigger the action toolbar, navigate to Manage Inspections, then use the checkbox to select one or more inspections. A toolbar will appear with the following options:

  • Save Template: Save the inspection configuration as a reusable template for use across different properties.

  • Mode — Pause or Activate: Choose Pause to stop future triggers (ideal for seasonal changes or holidays) or Activate to resume the normal schedule. Note: you cannot pause an inspection that is already open and pending completion. For full details see Pause and Activate Inspections.

  • Delete: Click the Bin icon to erase the inspection from the system.

  • Download: Click the Download icon to export the inspection details as a CSV file.

Note: Only Admins have permission to delete inspections.


View Who Created Each Inspection

You can track exactly who created each inspection and when it was added to the system — helpful for maintaining an audit trail and accountability across your team.

  • Inspections Table: Click Manage InspectionsColumns and enable the Created By column. If the inspection was created by a super admin, you'll see "Visitt" as the creator.

  • Inspection Page: Inside each inspection's detail page, you'll find a "Created by" and "Created date" section at the bottom.

  • Inspections Export: The "Created By" field is included when you export inspections to a file.

📌 Note: This applies to inspections created after the feature release. Older inspections will show blank values in the "Created By" field.
