Managing inspections in Visitt is not just about creating them; it's also about making adjustments. Whether you need to replace users, add more checks to inspections, or make specific modifications (like choosing temperature units), Visitt makes editing inspections straightforward. Let's dive into the process step by step.
Accessing Editing Mode
Navigate to the Inspections page through the left sidebar
Select Manage inspections from the top bar
Select the inspection you would like to edit
Click on the three dots at the corner of the inspection and select Edit
This will bring you to the three-stage editing window where you can make detailed modifications.
Stage 1: Main Information
In this stage, you can modify the general settings of your inspection. These settings include essential components that define the inspection's framework and operational requirements.
Name and Frequency: Click on the inspection title to edit. Enter the new name and select the desired frequency from a dropdown menu.
Assigned Users: Click on the user assignment section. Add or remove users by searching and selecting their names.
Change Category: Change the category of the inspection to better organize and classify your inspections according to their purpose.
Add Description: Include a detailed description of the inspection to provide additional context and objectives to the users involved.
Estimated Work Hours: Enter the estimated amount of time the inspection is expected to take.
Location Tracking: Decide whether to activate location tracking during the inspection. This setting requires location services to be enabled for closing the inspection, ensuring compliance and accuracy. It also allows you to later verify the exact location where the inspection was completed.
Stage 2: Customize tasks and associated spaces for the inspection
Add More Spaces or Equipment: Begin by adding additional spaces or equipment to your inspection. Under each new space or piece of equipment, you can then create new tasks.
Create New Tasks for Existing Spaces or Equipment: Add new tasks to existing spaces or equipment that already have tasks assigned.
Change Task Types: For existing tasks, such as a "Visual Check" under a generator, you can change the task type from a simple yes/no multiple choice to a checkbox (for example, to mark 'Visual Check Completed').
Reorder Tasks: Adjust the order of tasks within a space by dragging them up or down to optimize the inspection flow.
Stage 3: Organizing Inspection Structure
Rearrange Tasks and Spaces: Drag the tasks or spaces into a new order to optimize the flow of the inspection.
Rearrange the order of spaces by dragging and dropping them.
After making your changes, don't forget to save them by clicking the Save button.
Duplicating and Managing Inspection Status
Duplicate an Inspection: If you need to create a similar inspection for different sites or equipment but with the same tasks, there's no need to start from scratch. Click on the three dots at the inspection header and select Duplicate. This allows you to replicate the existing inspection, which you can then modify as needed for the new building or equipment. This feature saves time and ensures consistency across multiple inspections.
Pause and Activate Inspections: Use the toggle in the inspection settings to switch between paused and active statuses. This is useful for managing inspections during periods when they may not be relevant, such as holidays or equipment downtime, allowing you to efficiently manage resources and scheduling.
Note: Pausing an inspection will only affect future inspections. Please note that you cannot pause an inspection that is already open and pending completion
Removing Inspections
Delete Unnecessary Inspections: Navigate to the inspection, click the checkbox next to it, and then click the trash bin icon to delete.
Note: Only Admins can remove inspections
Changing Assigned Users in Open Inspections
You can now easily change or remove assigned users in open and existing inspections. Just open the inspection, click the three dots, and select Assigned User. This update makes it easy to update assignments without recreating inspections.
Note: These changes only affect the current round and won't change the original assigned users. This means the changes won't apply in future rounds.
Example:
If you assign a user to inspect Unit 101 but later need someone else, you can update the assigned user for that inspection only, without affecting other inspections in the building.
We hope this guide has given you a clear and comprehensive understanding of how to edit inspections effectively.
