This guide covers how to set up new inspections in Visitt, including standard and custom frequencies, assigning users, configuring tasks and dependencies, and managing scheduling options.
Start Here
Begin by navigating to the Inspections page on the sidebar. Then, go to the Manage Inspections tab at the top of your screen. Once there, click Add Inspection.
After clicking Add Inspection, you can create your inspection using this brief three-step process.
1. Main Information
Define the core details of your inspection: name, frequency, assigned users, and basic settings.
💡Note: You can add clickable links directly in inspection descriptions and text fields in Visitt. This makes it easy to include helpful resources—like Google Forms, Drive documents, or any external links—so your team has everything they need at their fingertips while completing inspections.
Setting the Frequency
Define how often your inspection should run — whether using standard options like daily or weekly, or more advanced custom intervals for flexible use cases.
How to configure it
Go to: Sidebar → Inspections → Manage Inspections
To create a new inspection: click Add Inspection
To edit an existing one: click the pencil icon on the relevant inspection
In Part 1: Main Information, locate the Frequency field
You’ll have two main options:
Standard frequency options
Choose from predefined intervals:
Daily
Weekly
Biweekly
Monthly (once a month)
Quarterly
Yearly
Custom
All frequencies allow you to
Choose a custom start date (e.g. start 2 weeks from now)
Select "closed after" options:
⚠️After the inspection is created, the first run and next run dates cannot be edited.
Custom frequency
Provides full flexibility to set custom inspection schedules beyond standard options—ideal for teams with unique operational routines. You can configure inspections to repeat every 1–99 weeks, months, or years.
How to configure it?
Go to: Sidebar → Inspections → Manage Inspections
To create: Click Add Inspection
To edit: Click the pencil icon on an existing inspection
Then, in Part 1: Main Information, go to the Frequency field and select Custom
Inspections using this setup are labeled “Custom” and can be filtered in the main table.
2. Build Your Inspection Tasks and Spaces
Add your tasks and select their types: For each section, select the spaces/equipment where the inspection should take place and create tasks with customizable input types, such as text, numbers, multiple choice, and more.
Required tasks (Optional): You can designate a task as required. If a task is marked as required, team members must complete it before they can complete the inspection.
Dependent tasks: In the Multiple Choice task type, you can set up dependent tasks. This allows you to trigger a specific check based on a certain response. For example:
Suppose we have a check named Relief Valve Leaking. We can set up another task to be triggered only if the answer to this check is Yes.
To do this, add the 'Relief Valve Leaking' task, select 'Multiple Choice' as the type, then click on the Connected 3 Dots icon as shown in the image below. Choose which option will trigger the next task, and then click 'Add Task' to create the new dependent task.
3. Task Order Within the Inspection
If the inspection has multiple spaces, you can arrange the order in which the inspection will take place. You can drag and drop assigned spaces to arrange them in your preferred order, allowing the inspection to align with your workflow. Once you are done, click Add inspection, and Visitt will trigger the inspections at the designated time and notify all assigned users. As managers, you will be able to track inspections in the Open Inspections tab under the "Inspections" page in Visitt.
Inspections Hold and Activate Options
temporarily pause (put on hold) or reactivate inspections. This is useful when inspections need to be skipped during holidays, off-seasons, or operational downtimes, without needing to delete or recreate them.
How to manage it
Go to: Sidebar → Inspections → Manage Inspections
Find the inspection you want to pause or reactivate
Use the checkbox to select it
At the top toolbar, you’ll see options to:
Pause the inspection (Hold mode) – this will stop the inspection from being triggered until reactivated
Activate – resume a paused inspection to restore its normal schedule
Changes take effect immediately, and paused inspections will no longer appear in upcoming schedules until reactivated.
How to Remove Inspections
To remove an inspection, go to the Manage Inspections page, check the box next to the inspection you want to remove, and click the bin icon to delete it.
Inspections Calendar
Navigate to the Calendar tab to access a calendar view of all your open inspections. You can customize your view by Status, Building, Assigned user, and Frequency.
💡This view does not show daily inspections.
