Actions on Closed Inspections

Manage and document your completed or missed inspections to maintain accurate building records.

Managing inspections doesn't end once the status changes to closed. Whether an inspection was completed on time or missed, the Visitt platform allows you to review data, add critical context, and export reports for your stakeholders.


What is a Missed Inspection?

A missed inspection is one that was not updated or completed before the due date, whereas a completed inspection is one that was successfully completed on or before the due date.


Accessing Your Closed Inspections

The Closed Inspections page acts as a central archive for two types of records: Completed (finished before the deadline) and Missed (not updated or finished by the due date).

  1. Navigate to the Inspections page through the sidebar menu.

  2. Click on the Closed Inspections tab.

  3. Use the Column button at the top-right to add or remove specific data points from your view.

💡 Tip: Use filters to quickly locate a specific inspection: Date, Name, Category, Status, Building, Space, Completed by, or Type.


Reviewing and Editing Inspection Data

Once you locate the relevant record, you can dive into the specific details captured during the maintenance round.

  1. Select and click on a specific inspection from the list.

  2. Review the information entered by the team member.

  3. If the deadline has not yet passed, you may edit the entries as needed. You can also complete an open inspection before the deadline as long as it is still open.

Important: Once the deadline for an inspection passes, the core data entries become permanent and can no longer be edited, regardless of whether the status is missed or completed.


Exporting Inspection Records

To share these records with owners or include them in monthly reports, you can export your current view.

  1. Apply any necessary filters to show the specific inspections you wish to export.

  2. Click the Export button located at the top-right of the page.

  3. Download the file to your computer for your records.


Adding Notes for Context

Even after an inspection is closed and the deadline has passed, you can still add notes. This is essential for documenting why a task was missed or noting follow-up actions taken after a completed round.

  1. Open the desired closed inspection.

  2. Scroll to the bottom of the page.

  3. Click the Add Note option.

  4. Type your remarks and save.

Who can add notes? Assigned Team Members, Managers, and Admins.


How to Reopen a Closed Inspection

Visitt allows Admins and Managers to reopen missed inspections that were previously closed, making it easier to keep records accurate and operations aligned with what actually happens on the ground.

Who Can Reopen a Closed Inspection?

  • Admins: Have access by default.

  • Managers: Can use this feature only if an Admin grants them the specific permission.

Supported Inspection Types and Eligibility Rules

Inspections can only be reopened under all of the following conditions:

  • Frequency: Only inspections with a frequency of weekly or higher can be reopened. Daily or hourly inspections cannot be reopened.

  • Timing: The inspection must have been missed within the last 3 months.

  • Sequence: You cannot reopen a missed inspection if a newer inspection of the same type has already been completed or missed. For example, if you are in Week 3 and Week 2 has already been completed or missed, you cannot reopen Week 1.

How to Reopen a Missed Inspection

  1. Go to the Inspections page in your Visitt dashboard.

  2. Click the Closed Inspections tab.

  3. Look for inspections marked as Missed.

  4. If the inspection is eligible, you'll see a Reopen option directly in the list or inside the inspection.

  5. Click Reopen. The inspection will move automatically to your Open Inspections list.

Important:
• The reopened inspection will remain open for 7 days. This period is fixed and cannot be customized.
• After completing a reopened inspection, you will be prompted to provide a reason for the delay.
• Once completed, the inspection will be marked as Completed (Late) and counted in both the Status page and Reports as a completed periodic inspection.
