Manage and supervise all your work orders from the Work Orders page with clear visibility of maintenance tasks and swift execution. The Work Orders page in Visitt serves as your central hub for managing the entire lifecycle of a service request, from submission to completion.
Access and User Permissions
To access the Work Orders page, click the Work Orders icon on the left sidebar menu.
Managers: Have full authority to view, edit, and manage all work orders across their assigned buildings.
Team Members: Can access and complete work orders assigned to them through the My Work or Open Work Orders sections.
Understanding the Work Orders Tabs
The Work Orders page is organized into specific views to help you manage your daily operations effectively. You can manage your work orders through these tabs:
Open Work Orders: Shows all active tickets
All Work Orders: A complete archive of every ticket ever created
Calendar: A visual timeline of your tasks
Automation: Predefined rules that automatically assign users, set priorities, or send notifications
Templates: A library of pre-filled work orders
Recurring Schedules: All tasks that repeat automatically
At any time, on every tab, you can create a new work order by clicking the Add Work Order button on the top right-hand side.
Open Work Orders
This tab displays all unresolved tickets and is the primary workspace for identifying urgent tasks that need attention.
Use the search bar to locate tickets using keywords. You can also use the search bar to filter by location, space, or work order number, or click any column title to filter by that column's values — these two methods can be combined for more precise results.
You can use the different filters to view and focus on various work orders:
Status:
Awaiting Acceptance: A work order submitted by a team member that needs to be confirmed by a manager
On Hold: A work order suspended by a manager or admin
Open/Accepted: A work order that has been submitted and confirmed by an Admin or Manager
In Progress: A confirmed work order that is still in progress and has not yet been completed
Building: Filter work orders by property location
Category: Filter work orders by a specific category, if one was assigned at submission. If not, the work order is labeled "No Category" in gray.
Add Filter: Create your own custom filter to make your dashboard more efficient
All Work Orders
This section provides a comprehensive archive of every work order, including completed and canceled tickets. It is the best place to audit past performance or retrieve historical data.
Deleting Work Orders: To remove a record, select the desired work order on the left-hand side of the list, then click the Delete button on the right-hand side. Note: only Admins can delete work orders. See How to Delete Work Orders for full instructions.
Importing Data: You can bulk-upload work orders in two stages. First, click the Import icon and select Download template. Once you have filled out the CSV file with your data, use the Import icon again to upload your completed file.
Calendar View
The Calendar tab visualizes assigned work orders by creation date, helping you balance team workloads and track scheduled maintenance.
Navigation: Scroll between months using the arrows beside the month name.
View Modes: Toggle between Month, Week, or Day displays.
Filtering: Apply categorical filters to visualize specific maintenance types.
Note: The Calendar view is not available in the mobile app.
Modifying Work Orders
You can modify any work order from the Open, All, or Calendar tabs.
Click the work order you wish to modify to open the configuration window on the right.
Use the Quick Action buttons to add a Checklist, Signature, or Vendors.
From here, you can also perform additional actions such as Decline, Download invoice (PDF), Edit recurring work order, or Copy link.
Communicate and Collaborate
Effective communication ensures tasks are handled correctly. When a work order is open in the side window, use the communication tools:
Internal Chat: Coordinate with your team members.
Tenant Channel: Send updates directly to external tenants.
Note: Files or images uploaded via the File icon are attached to the work order record itself, making them visible to all associated teams rather than being hidden within a specific chat thread.
Update Status or Close the Work Order
Keep your records accurate by updating the status as the job progresses.
Select the appropriate status: Awaiting Acceptance, On Hold, Accepted, In Progress, Completed, or Canceled.
To finalize a task, change the status to Completed.
If required by your Admin settings, log your work hours to successfully close the ticket.
Exporting Work Orders
Export your work order lists directly from the Work Orders page in CSV format.
Click the Export button at the top-right of the page.
Choose the columns you'd like to include in your file.
Click Export CSV to download the file to your device.
💡 Note: CSV exports are limited to 5,000 rows per export.
Automations
Automations eliminate manual data entry by applying predefined rules. You can set the system to automatically assign specific users or apply an SLA based on the category or building.
Templates
Templates standardize recurring work order tasks to ensure consistency across your portfolio.
How to create a work order Template
Tap the Add a Template button from the Templates tab.
Name it and fill in the description.
Define the building, category, and create a checklist for the specific work order.
Tap the Submit button to create the template.
Load the template when creating a new work order to instantly populate all fields.
Recurring Schedules
The Recurring Schedules tab lets you set up work orders that repeat automatically. This is ideal for regular maintenance tasks — for example, windows cleaned every week or an AC check every month. You can create a single work order that repeats according to your pre-set schedule, eliminating the need to manually recreate the same task.
You can filter your recurring work orders by building, and further narrow your view by:
Tenant: See scheduled work orders for a specific tenant
Category: View all recurring tasks within a certain category
Assigned User: See all schedules assigned to a specific person
Created by: View schedules created by a specific manager or admin
