Manage Your Tenants in Visitt

How to manage your Tenant groups and Contacts in Visitt

The Tenants page in Visitt allows you to efficiently manage all tenant information in one place. You can add new contacts, define their roles, and adjust the spaces where tenants can submit requests.

Key Terms🔑

  • Tenant: An entity, such as a company or family, that leases one or more spaces (suites, offices, or units).

  • Contact: An individual associated with a tenant group, such as a company employee or family member.


Managing Tenants

Start by navigating to the Tenants tab to see a list of all your tenants. Then click on a tenant to open their card, which provides a detailed view of their information, organized into several sections:

Overview:

Here you'll see a summary of the tenant, including contacts, open requests, member satisfaction, and general details.

Contacts

Manage, add, and delete contacts for the tenant.

💡You can also add contacts from the Contacts page. Refer to the 'Adding Contacts' section later in this article for more details

Authorized Spaces

Here you'll see a list of all spaces where tenant members are permitted to submit requests. Click Add Spaces to add new ones for the tenant.

Documents

Store all tenant documents in one centralized building for easy access and future reference. You can also set expiration reminders for important documents. These documents will appear in the Documents tab alongside other non-tenant-related documents.

Billing

We've added a new Billing section in the Tenant Profile, allows you to customize and add more details to work order invoices related to the tenant.
To update, simply click on Billing and fill out the Tenant Code, Company Name, Billing Contact, and Billing Address fields to tailor the export to your needs.


Once added, you'll be able to see this information on every invoice PDF related to this tenant. For example:


Creating and Archiving Tenants

To create a new tenant, simply click Add a Tenant.

To archive a tenant, navigate to the 'Tenants' tab, select the tenant you wish to archive, and click the Archive button at the bottom of the page.


Adding Contacts

Start by navigating to the Contacts page . Here you'll see a list of all your contacts, their information, whether or not they have signed up for Visitt+. To add a new contact, follow these steps:

  • Click on the Add Contact button

  • In the pop-up that appears, fill out the contact's information: Name, Phone, and Email

  • Click on Select Tenant and choose a tenant from the list

  • Finally, click on Add Contact

You can invite your new contacts by clicking Send Visitt+ invite. This will send them a message with an invitation link to download the tenants app and start creating requests!

💡 You can add contacts to the tenant either from the Contacts page or directly from the tenant card.


Updating Contacts

To update or edit a contact, go to the Tenants tab in the main menu, select contacts, click the desired contact from the list, modify the necessary details (e.g., name, phone number, or email), and click Update.

If you want to archive a contact, select it, and choose Archive in the same window.

Please note: Once a contact is archived, they will no longer be able to log in to the tenant's app.
