In this article, we will discuss the Amenities function. This functionality allows tenants using Visitt+ to view and reserve the facilities available at your property. We will guide you through the process of creating and managing these offerings.
Bookings
When you open the Amenities page, the first thing displayed is the Bookings tab. On this page, you can view all amenity bookings under your property. In the table view, you'll be able to Approve, Reject, Cancel, or Edit any bookings that have been made, in addition to being able to book an amenity for someone manually by clicking the Book amenity button.
In the Calendar view, you'll be able to see all your amenity bookings in a calendar view.
Work Orders
Whenever an amenity is booked, a new work order is opened. This feature is not only to remind you to Approve or Reject the amenity booking, but also in case it is needed to setup the area. Once an amenity booking is made, you'll need to complete the amenity work order in the Work Orders page.
Manage Amenities
The second page in the Amenities page is the Manage amenities tab. In this tab you'll be able to view the amenities your property has to offer. If you ever want to add an Amenity to Visitt, you'll need to navigate to this page and add an amenity using the Add amenity button.
Once you click on the Add amenity button, fill out all the information needed and you'll be able to add this amenity for future use. The screenshot below provides several details you'll need to fill out. You'll be able to customize more specific details such as attaching pictures, set days of the week, availability rules, etc.
Availability rules & conditions
Under the Availability rules & conditions section, you will see some complex features:
Booking window: Define the range of time in advance when you can accept reservations.
Add a time buffer: Add a predefined time period both before and after a reservation to allow for space preparation (For example, if someone books the community room from 2 PM to 4 PM, you can set a 30-minute buffer before and after the reservation. This means the room will be blocked from 1:30 PM to 4:30 PM, ensuring there is adequate time for setup and cleanup, providing a seamless experience for all users).
Maximum duration per booking: Set a maximum allowed reservation time per single booking.
Link amenities with shared spaces: Link amenities that share a space with this one to prevent double bookings and optimize space utilization.
