How to View, Verify, and Export Charges

View, verify, and export work order charges from the Billing page.

Written by Basman Abu Gazi

This article provides an overview of the Billing page in Visitt, including how to navigate its features and manage your billing information.

What is the Billing page?

The Billing page lists every charge from your work orders in one place. Use it to review charges, verify them before they go to accounting, and export them to a spreadsheet.

Access the Billing page

In the left sidebar, under Operations, select Billing. The Billing page displays all charges generated from work orders, allowing you to review billing details, verify charges, apply filters, and export billing data as needed.

Review charges

  • Use the column headers to sort by Tenant, Work Order #, Description, Completion Date, Charges, Tenant Approval, Billing Status, Property, or Region.

  • To show or hide columns, select Columns and choose the columns you want to see.

  • Check the Tenant Approval column to see whether the tenant has approved the charge. The Tenant Approval column will show one of these values:

    • Not requested – no approval has been requested yet for that work order's charges.

    • Pending – an approval request was sent to the tenant, but they haven't responded yet.

    • Approved – the tenant reviewed and approved (e-signed) the charges. This one also shows a green checkmark next to it.

    • Canceled – the approval request was canceled, either manually by staff or automatically because the charges on the work order changed after the request was sent.

Verify a charge

  1. Find the charge you want to verify.

  2. Select Verify.

NOTE: After you verify a charge, you can’t edit the charge or change the work order status.

Export Charges

  1. Select the checkboxes next to the charges you want to export.

    1. If you click Export without checking anything, it exports everything matching your current filters; if you check specific rows, it exports only those.

  2. Select Export charges.

  3. The file downloads to your computer as a CSV.

Common scenarios

  • Send your billing team a monthly summary: Sort by Completion Date, select that month’s charges, and export them.

  • Check what’s still waiting on a tenant: Sort by Tenant Approval to group the unapproved charges.

  • Prepare charges for accounting: Verify the approved charges, then export them.

FAQ

  • Who can verify charges?

    • Global Admins, Property Admins, and Managers with the Manage Billing permission enabled can verify charges. This permission must be explicitly granted by an administrator, even for users with the Property Admin or Manager role.

  • Can I undo a verification?

    • Yes. Verified charges can be unverified by Global Admins and Property Admins.

  • Does the export include hidden columns?

    • Yes. Billing exports always include a fixed set of columns, regardless of which columns are currently shown or hidden using the column selector.
