How does the Amenities feature help property managers?
The Amenities feature allows property managers to offer building facilities — such as gyms, rooftop pools, or study rooms — for tenant reservation. This guide provides instructions for managing incoming requests and configuring new amenities to ensure your property runs smoothly.
Bookings
On this page, you can view all amenity bookings under your property.
How to Process Tenant Bookings
Navigate to the Amenities page using your sidebar.
Open the Bookings tab to see all requests created by your tenants.
Click the relevant button on a booking to take action:
Approve — Confirm the tenant's amenity booking.
Reject — When rejecting a booking, you can add a specific reason for the cancellation.
Cancel — Cancel a booking that was previously approved.
Edit — Change the contact person or the reservation dates.
Switch to the Calendar view by clicking the toggle on the right-hand side to see all bookings organized by day, week, or month.
Filters
Use the filtering options to focus on specific amenity orders:
Booking Status — Filter by Approved, Canceled, Inquiry, or Pending.
Booking date — Focus on specific date ranges:
Is Before — Any date before the specific period you choose. For example, if you choose Last quarter, the view will show only bookings prior to that period.
Is After — Any date after the specific period you choose. For example, if you choose Last year, the view will show bookings from that year onward.
Is Between — Select a specific period using the calendar pop-up. For example, choosing January 3rd and March 14th will display all bookings within that range.
Other Filters — Filter by date created or by contact.
Booking Amenities Trigger Work Orders
Whenever an amenity is booked, it creates a new work order. This feature is not only to remind you to Approve or Reject the amenity booking, but also allows you to manage any preparations needed to set up the area. Once an amenity booking is made, you'll need to complete the amenity work order in the Work Orders page.
How to Create a Manual Booking
Click the green Book Amenity button on the right-hand side.
Select the tenant you are booking for from the dropdown list.
Choose the specific amenity they wish to use.
Select the date and the specific time slots.
Click Submit to finalize the new booking.
Creating and Managing Amenities
Use the Manage Amenities tab to build and customize your facility profiles, providing a clear directory of facilities with specific rules and pricing for tenants.
How to Add a New Amenity
Navigate to the Manage Amenities tab.
Click the Add amenity button.
Upload a cover image to help tenants identify the space.
Enter the Name, Maximum occupancy, and Location.
Type a description, such as instructions for using equipment.
Assign a specific user to oversee that amenity.
Set the Time slot durations and enter a Cost per booking.
Select the available days of the week and adjust the opening hours.
Check the Billable box for each day if you want to charge the cost per booking.
Click Submit to save the new amenity.
💡 Important: Make sure to check the Billable box. This ensures that tenants will be able to see the booking price directly in their app.
Setting Amenity Rules and Conditions
You can apply logic within the amenity settings to prevent scheduling conflicts:
Booking window: Defines how far in advance a tenant can reserve a space.
Time buffer: Sets a period before and after a reservation for cleaning or preparation. For example, if someone books the community room from 2 PM to 4 PM, you can set a 30-minute buffer before and after the reservation. This means the room will be blocked from 1:30 PM to 4:30 PM, ensuring there is adequate time for setup and cleanup, providing a seamless experience for all users.
Maximum duration per booking: Limits how long a single reservation can last to ensure fair access.
Linking amenities with shared space: Prevents double bookings if two different amenities occupy the same physical area.
Adding Reservation Questions
You can require tenants to provide extra information before they finish a booking:
Navigate to the Booking questions section.
Click Add a question (for example, "How many guests are you bringing?").
Select the response format, such as Text.
Toggle the Required setting if the tenant must answer to proceed.
Click Submit.
